Booking terms

These are the terms that apply when you book a trek with us: what the deposit is, what happens if you or we cancel, and what you need to arrange yourself. For how this website works, see our website terms. For what we do with your details, see our privacy notice.

The short version

  • A deposit of 5–10% confirms a private trek. The balance is paid before you walk.
  • Cancel more than 15 days before the start and you get everything back.
  • After that a fee applies, rising the closer you get to the start date.
  • Travel insurance covering high-altitude trekking and helicopter evacuation is required.
  • If we cancel, you choose: a full refund of unused services, or another date.

Booking and deposit

A deposit of 5–10% of the trip cost confirms a private trek. [GROUP DEPARTURE DEPOSIT — client to confirm]

The balance can be paid when you arrive in Nepal, or before the trek begins, as agreed with you in writing. The deposit is what lets us hold permits, accommodation, transport and guides in advance — most of which we pay for before you arrive.

If you cancel before the trek starts

Tell us in writing, by email or WhatsApp. What you get back depends on when we receive that notice.

In every case, permits, flights or service fees we have already paid for and cannot recover are deducted from the refund.

If you leave after the trek has started

Once a trek has begun, we cannot refund the part you do not use if you stop for personal reasons, illness or anything that is not an emergency on our side.

If the trek is disrupted by weather, a natural event, a road closure or anything else outside our control, we will change the itinerary where we can, or refund the services you did not use. Costs caused by those events — a helicopter evacuation, extra nights, extra transport — are yours to carry, which is why the insurance below matters.

If we cancel

If we have to cancel — political instability, a safety concern, a natural disaster — you choose between a full refund of everything you have paid us for services not used, or moving your booking to another trek or another date.

We cannot refund what you did not book through us: international flights, visas and insurance are between you and whoever you bought them from.

Insurance you need to have

Travel insurance is not included in any of our trips and you need it before you arrive in Nepal. It should cover:

  • Trip cancellation and interruption
  • Medical expenses, at the altitudes you will be walking at
  • Emergency evacuation, including helicopter rescue
  • Accident, injury or death
  • Lost, stolen or damaged belongings

Your health, and telling us about it

Tell us about medical conditions, allergies and dietary needs before you travel, bring any regular medication and suitable equipment, and follow your guide's instructions on the mountain. If we do not know about something, we may not be able to help you properly when it matters.

Trekking at altitude carries real risks. We plan carefully, our guides are licensed and first-aid trained, and we will coordinate help in an emergency — but we are not able to take on the cost of medical treatment, rescue, evacuation or hospital care. That is what your insurance is for.

Conduct, and our equipment

We expect everyone to treat guides, porters, local communities, fellow travellers and the places we walk through with respect. We can ask someone to leave a trek if their behaviour puts themselves or anyone else at risk, or seriously disrupts the trip.

Equipment we lend you — poles, sleeping bags and the like — that is lost or damaged through misuse or carelessness is charged at what it costs us to replace.

Changes to the itinerary

We may make small adjustments to a route for safety, weather or local conditions. Where a change is significant we will talk to you about it first whenever that is possible.

Cancelling, and how refunds are paid

Cancellations and refund requests need to be in writing — email or WhatsApp is fine. Refunds are processed within 7 to 15 business days, depending on your bank and how you paid.
